How do I relink a course in 'Courses and Modules in Course Maintenance' [SSTU0081]?


 

What does this facility do?
It allows you to relink a module occurrence, together with student module records, teaching groups and student teaching group sessions to

  • a new version of the module
  • another module

Scenario 1  - Relinking to a new version of the module
The most common scenario is when a new version of a module has been created, leaving occurrences, student module records, and student teaching group sessions attached to the old version.

Scenario 2  - Relinking to another course
Another scenario might be that a module code is wrong or students have been put on the wrong module, and you want to link to a different module code.

NOTE: if you want to change any module top-level data field that is GREYED out - for example, the number of credits or the term of teaching, it will not work UNLESS YOU MAKE THE AMENDMENT as soon as you 'create a new version' and *BEFORE* RELINKING THE STUDENTS.

What do you do?
Scenario 1

  1. If you have not already created a new version of the module, do that first. You will notice that recording an end date where future occurrences exist results in a warning message. For other users it is an error.
  2. Go back to the 'old' version  that is the module whose details you are relinking. On the 'Detail' tab, select the 'Occurrences' button.
  3. Select the Calendar Occurrence you want to relink, and press the 'Relink' button.
  4. The new screen assumes you want to link this version of a module to a later version, and if it finds a later version, it will insert the details of New Start Date and New Term. When you see a value in 'New module Seq' you know a suitable module has been selected.
  5. Press 'OK'.

At this point the occurrence, together with the student module records, teaching groups, and student teaching group sessions, are detached from this version of the module and attached to the new version. You will notice that the old module occurrence has disappeared. You may then look up the new version of the module and check that the occurrence is indeed linked to the new version of the module, together with students, teaching groups, etc.

Scenario 2

  1. Locate the 'old' module you want to relink.
  2. Select the Calendar Occurrence you want to relink, and press the 'Relink' button.
  3. Enter the module code, New Start Date and New Term of the module to be linked to. When you see a value in 'New Module Seq', you know a suitable module has been selected.
  4. Press 'OK'.

What you can and cannot do

  • You cannot relink a module if:
    there are assessment occurrences in existence for the module occurrence year you select.
  • A module cannot be linked to if:
    it has an occurrence in existence for the same year as the module occurrence being relinked.
  • You can relink a course to a module with a different Calender type - for example, AUT/SPR to AUTUMN if:
    there is no clash around teaching groups OR teaching sessions.
    For example:
    - If the FROM course contained an AUT/SPR Seminar teaching group, the TO module (calendar type AUTUMN) would have the Seminar teaching group with AUTUMN term.
    - If the FROM module had any teaching sessions set up for SPRING the relink would be disallowed.
